The clinic front desk
AI for the clinic front desk: never miss a patient
GP, physio, dermatology, eye care or any specialty: clinics lose patients at the front desk.
Sound familiar?
The work that decides whether you grow.
- The waiting room is full
- Two lines are ringing
- A referral waiting to be keyed in
- Follow-up calls that haven't started
The clinicians are fine. The front desk is drowning.

Where AI pays first
Four jobs, in the order we suggest.
Each is a fixed-price project you can stop after.
- 01 · AI receptionist and call answeringThe phones are usually the biggest single leak.
- 02 · Document, invoice and form processingIntake and referrals eat hours every day.
- 03 · Appointment reminders and no-show recoveryEvery refilled slot is revenue you already had the staff for.
- 04 · Internal knowledge assistantNew staff get answers without interrupting senior staff.
How much AI?
Usually: a little. Your numbers decide.
- Not yet
- A little
- A fair amount
- A lot
Phones first; then intake documents once the phones are measured.
Will it work with your software?
Practice management and EHR software varies a lot in what it lets other systems do. If yours has an API or a reliable export, we can usually connect to it; if it doesn't, we work alongside it. We check this before we quote, never after.
Human in the loop
A person stays in charge.
Nothing clinical is automated. The AI handles logistics: booking, reminders and paperwork. Every patient-facing message uses wording your clinic has approved.
Privacy rules by country
United States. Patient information is protected health information under HIPAA. We sign a business associate agreement before handling any. We keep US patient data in a US region, and set the AI to collect only what the job needs.
United Kingdom. Health data is special category data under UK GDPR. We design to that standard and document the setup for your data protection lead.
UAE and Australia. Local health-data and privacy law applies. We document what the AI sees and stores, and your compliance lead signs off the setup before launch.
Every market. We choose services by country, so your data stays where your local rules need it to be. We sign an NDA before we see anything, build and test on sample data, and connect real data only when it goes live, inside accounts you own.
Questions
Straight answers.
Will the AI touch clinical records?
No. It works on logistics, such as booking, reminders and intake paperwork. Clinical decisions and record entries stay with your clinicians.
Does it work with our EHR?
Practice management and EHR software varies a lot in what it lets other systems do. If yours has an API or a reliable export, we can usually connect to it; if it doesn't, we work alongside it. We check this before we quote, never after.
Do you build clinic software yourselves?
Yes. Xwits Healthcare is our clinic operating system, built for Indian clinics. For clinics in the US, UK, UAE and Australia we work with the software you already use rather than replacing it.
